Sage 100 - Sales Order Process Overview

Product: Sage 100


A Sales Order Process is one in which you receive Purchase Orders (850s) from a Trading Partner and in return send an Invoice (810), Purchase Order Acknowledgement (855), and an Advance Ship Notice (856) in return.

While there are other documents that you may send and receive - these are the most typical for Sales Order Process.


Purchase Orders (850s)


Receiving Purchase Orders

When you receive a new Purchase Order (850) from your Trading Partner they'll show up in the Inbox of Transaction Manager ready to be exported. From here you can open the transaction within Transaction Manager and view the data provided by your Trading Partner.

You'll want to make sure that this particular order has its Partner Setup, Ship To Code, as well as all of its Item Translations configured.

Sales Order Entry

Once successfully Exported the Purchase Order will be moved into the Received folder within Transaction Manager and a Sales Order Entry within Sage 100's Sales Order module will be created.

Navigate: Accounts Receivable → Sales Order Entry

Select: Order Number (magnifying glass)

Note: You can go to System Activity → Integration Activity within Transaction Manager to view the Document # produced within Sage 100 to easily find the document.

Invoices (810)


Invoices to be sent to your Trading Partner are created by Importing an Invoice Data Entry from Sage 100 - these Invoice Data Entries can be created manually under the Sales Order module - otherwise they'll be automatically created when creating a Shipping Data Entry (see below) within Sage 100.

Creating a Sales Data Entry

You'll need to create a Invoice Data Entry in order to import it into Transaction Manager as an EDI Invoice (810). Simply enter a Invoice No. and then select the Sales Order Number and select your previously created Sales Data Entry that was generated from the incoming Purchase Order from your Trading Partner.

Importing into Transaction Manager

To create the EDI Invoice (810) you simply need to Importinto your Transaction Manager's Outbox the Sage 100 Invoice Data Entry - setting your Transaction Type in the import search to Invoice

Navigate: Outbox → Import

Set: Transaction Type to Invoice

Purchase Order Acknowledgements (855)


Purchase Order Acknowledgements are generated just by pulling data from your Sales Data Entry within Sage 100 - no additional work is needed other than adjusting your Item's quantities (such as backordered) if need be.

Importing into Transaction Manager

In order to import a Purchase Order Acknowledgement into Transaction Manager you'll need to run an Import within the Outbox - and set your Transaction Type setting to Purchase Order Acknowledgement


Advance Ship Notice (856)


In order to send a Trading Partner an Advance Ship Notice you'll need to create a Shipping Data Entry within the Sales Order module of Sage 100 that has a Ship Status of Shipped

Navigate: Sales Orders → Shipping Data Entry

Packaging Items

You'll need to Package your items before your Shipping Data Entry is considered ready for Transaction Manager to import - you can do this by setting the Package Numbers, marking the Shipped quantity of each item, and setting the Quantity in Package.

Once complete - you'll need to enter the Shipping tab and fulfill any additional information including Tracking Numbers.

Importing Into Transaction Manager

In order to import a Advance Ship Notice into Transaction Manager you'll need to run an Import within the Outbox - and set your Transaction Type setting to Advance Ship Notice

Note: In order to produce the Ship Status required (Shipped) for Transaction Manager to see your Shipping Data Entry - you'll need to enter the Shipping tab within the Sales Data Entry at least once. Otherwise the status will be marked as Lines Completed which Transaction Manager will not see as available for import.

Ready to Send


Once imported - you will have an Invoice/Purchase Order Acknowledgement/Advance Ship Notice sitting within your Outbox ready to be sent. You can open the Transaction to modify any fields manually that may need edited, otherwise you can select the Send button to send it to your Trading Partner.
