EDI Transactions: Implementation Checklist

If you haven't already, you will need to contact your Account Manager for any new Trading Partner(s) with which you don't already have an established connection.

During this process you will be assigned an Implementation/Add-On Specialist who will assist you. Unsure of who they are? Check out this article.

However, once EDI compliance testing is complete, there are steps that must be completed to prepare you for Go Live. This article will provide you with those required steps as well as the necessary tools to be self-sufficient with setting up and adding a new Trading Partner at your own pace.


Checklist


Change transactions from Test mode to Production mode: The default mode for all transactions is Test mode. This step will require you to change those tested and approved transactions from Test mode to Production mode.

Set the appropriate import document type: Are you sending your Trading Partner Invoices, Advance Ship Notices (ASN’s), or Purchase Order Acknowledgements straight from your Business System? Be sure to set the correct Import Document Type for those transactions. The import document types matches up your ERP form to your Transaction Manager form/template.

Test the Export and Import: of all transactions, within scope, via your Business System. This could include an export of a Purchase Order, and/or an import of the ASN, Invoice or Inventory Inquiry/Advice, etc. By testing the exports and imports of all transactions, you are ensuring accuracy and compliance before Go Live.

Confirm all data is mapped correctly: to and from your Business System and Transaction Manager: This consists of all transactions in Transaction Manager even if they are not integrated with your Business System. This consists of reviewing all fields on the EDI transactions as well as all the fields on the transactions within your Business System.

Confirm that the Trading Partner has approved all transactions: within the scope of the implementation. Their approval verifies that the data being exchanged is accurate, complete, and aligned with mutually agreed‑upon business rules.

Confirm the EDI Mailbox field: is set for any outbound transactions (where applicable). The EDI Mailbox field, sometimes found on the Main tab of an ASN, helps direct and route EDI transactions to the correct location on the Trading Partner’s end. If this field always stays the same, be sure to hardcode/template that value in your transaction.
