Invoices provide a breakdown of what products or services you have purchased, the total amount spent, and when the payment was made. Invoiced data allows you to analyze spending patterns and identify where to cut costs, then have more effective financial management.
Retrieving an invoice is typically requested by a buyer who needs a copy of the invoice to process payment or keep it for their own records. It can also be retrieved by a seller who needs to find a specific transaction record for accounting, tax, and record-keeping purposes.
Why Retrieve Your Invoice?
Requesting a copy of your invoice may be essential for the following reasons:
to maintain an accurate record of your expenses; you might need to access your billing invoices from TrueCommerce for expense reporting or record-keeping
to prepare for tax compliance with proof of transactions, including item lists, total cost, payment terms, etc.
to prevent and resolve any disputes related to charges on your accounts caused by billing errors or misunderstandings regarding the services rendered; this helps eliminate disagreements and provides legal documentation in case of a dispute
to foster a culture of responsibility and professional trading partnerships in the form of organized record-keeping habits; this improves communication and maintains trust for long-term customer satisfaction.
How Do You Retrieve Your Invoice?
Within the Account Management Portal (AMP) inside of the Foundry platform, you can review and download your TrueCommerce invoices by performing the following steps:
From the Foundry platform Menu, select Account Management > Billing > Invoices.
IMPORTANT: Not seeing the Invoices menu option or not seeing any invoices? Chances are you just need your permissions adjusted. Your administrator will need to add the billing permission to your account. The steps to add that permission can be found here.
On the My Invoices screen, set your search criteria within the Search panel. Then, click the Search button to get the results.
Select an invoice to review and download it.
The invoice details are displayed in the right pane of the screen.
For a comprehensive view, click the Open Invoice in New Tab button on the toolbar. You can then print or download the document for future reference.
How to Add the Billing Permission to Your Account
If you need billing permission added to your account, follow these steps:
Click the Profile icon in the top-right of the Foundry screen and select User and Roles under the Security tab.
NOTE: If this tab is not available, the user trying the action is not flagged as an administrator.
In the Users and Roles screen, go into the USERS section.
Select the user intended to be given access and click the Edit button.
Go to the Authorizations tab, expand Account Management and select Permissions. Inside the permissions screen, check Allow for the Billing control as shown below.
Have the user log out and log back in to receive the new permission.
