NetSuite - Configuring an Inventory Inquiry/Advice

The Inventory Inquiry/Advice (846) transaction is generated by pulling the appropriate Item Information from your NetSuite inventory by cross-referencing the items marked within Transaction Manager's Item Catalog.

Set Import Document Type

Add Items to Item Catalog

Create NetSuite Saved Search


Set Import Document Type


You'll need to configure the EDI Transaction template and version you wish to have the Inventory Report generate upon import for each of your Trading Partners.

Navigate: Trading Partners → (Partner) → Preferences → Transactions

Select: Integration tab

Find: The appropriate EDI Transaction Type/Version you need (e.g: v4010 - Inventory Inquiry/Advice)

Set: Import Document Type to Inventory Report


Adding Items to your Inventory Report


Typically each Trading Partner has a unique set of items that you wish to send to them rather than your entire Inventory Catalog. To identify which items should appear on your Inventory Report/Advice (846) you will want to leverage Transaction Manager's Item Catalog to fill out the items that you wish to pass along within each of your Trading Partner settings.

Any Item not listed within Transaction Manager's Item Catalog will be skipped upon creation of the Inventory Report/Advice (846)

Adding Items

Navigate: Trading Partners → (Partner) → Translations → Item Catalog

Add: The NetSuite Internal ID for each item within the Item Translation column

Field Mapping


Below is the default list of the fields recommended to be pulled from your Inventory - additional fields can be pulled through a Saved Search within NetSuite and leveraging it within Transaction Manager.

Note: Internal ID is used to match your items within the Item Catalog. Your Saved Search will always require an Internal ID


Creating a Saved Search


In order to pull Inventory from NetSuite you will need to create an Item Saved Search within NetSuite containing the needed fields which will allow them to be available for mapping from the Mapping Manager system.

Setting up an Import Search


With your NetSuite Saved Search configured - you will most likely want to reuse the same on repeatedly. It's recommended to create a Transaction Manager Saved Search with the NetSuite Saved Search ID marked in it for convenient use.

Navigate: Transactions → Outbox

Select: Import

Set Processing Mode: Inventory/Catalog

Enter Saved Search ID: From NetSuite ID field

Select: Save Search

Renaming the Search

Once the search criteria has been saved Transaction Manager will give it a generated name. You can use the Rename Saved Search option to give it a custom one and save.

Using the Saved Search

After saving you will have the option to select the Saved Searches menu and reuse your settings at any time.
