An Advance Ship Notice (856) is generated by importing an Item Fulfillment from NetSuite. Since each Advance Ship Notice must contain a particular structure determined by your Trading Partner you will need to ensure that the Item Fulfillment is packed properly so that Transaction Manager can generate the appropriate structure required.
Note: This is a manual process for creating Advance Ship Notices (856) - however if you are receiving Warehouse Shipping Advices (945) from a Warehouse/3PL the Item Fulfillments will automatically generate/update to create Advance Ship Notice (856) data as needed.
Creating the Item Fulfillment
An Item Fulfillment (sometimes referred to as a Shipment) can be created in a variety of ways - whether from a Sales Order, through a custom script, or upon exporting an Advance Ship Notice (945) from Transaction Manager.
Creating an Item Fulfillment from a Sales Order
If you're creating an Item Fulfillment manually, whether as a general process or for testing purposes you can do so within the Sales Order entry for the order you would like to fulfill.
Generating the Item Fulfillment from a Sales Order is not a process in which TrueCommerce is responsible for. Any issues in creating an Item Fulfillment in this manner would fall out of TrueCommerce Support.
Locating the Sales Order
Navigate: Transactions → Sales → Enter Sales Orders → List/Search
Locate & Open: Sales Order
Setting the ASN Type
In order for Transaction Manager to be able to properly build the Advance Ship Notice (856) during import - the ASN Type within your Sales Order must be properly set as the Item Fulfillment leverages this field during creation.
If your ASN Type is not set within the Item Fulfillment - depending on your TrueCommerce Bundle version you may need to update the field on your Sales Order rather than the Item Fulfillment.
Fulfilling the Order
From within the Sales Order you can select the Fulfill button to manually create an Item Fulfillment within NetSuite.
Select: Fulfill
This is just one of many ways to generate an Item Fulfillment
Packaging the Item Fulfillment
Once an Item Fulfillment is created the contents must by Packaged in order for Transaction Manager to know how to structure the data to formulate the Advance Ship Notice (856).
The Package Contents provides information regarding your Pallets (Tares), Box (Pack/Carton), Weight, Tracking Numbers, and Dimensions of a particular Advance Ship Notice that can be used to do so.
ASN Type
The ASN Type is the overall structure that Transaction Manager will generate based on the selection.
ASN Type Dropdown | Advance Ship Notice (856) Structure |
No Pack | Shipment → Order → Item (SOI) |
Pick and Pack | Shipment → Order → Pack → Item (SOPI) |
Standard | Shipment → Order → Item → Pack (SOIP) |
Pallet Pick and Pack | Shipment → Order → Pallet → Pack → Item (SOTPI) |
Note: PaceJet and ShipCentral variations may be used if your environment utilizes those
Package Contents
While the Items tab shows a list of all items on your Item Fulfillment - the Package Contents tab of your Item Fulfillment represents the packages (sometimes called Cartons) that those items have been placed in so that your partner knows where to locate those items upon delivery.
This includes information such as which items are located in which box, pallet assignment (if used), tracking numbers, and dimensions.
No Pack formats do not require the Package Contents to be filled out
Adding Packages Manually
Navigate: (Item Fulfillment) → TC - Package Contents
Select: New Package Contents

Adding an Item
In order to add an item to your Package you will need to use the Item dropdown to select the items that are listed on the Item tab of your Item Fulfillment.
Select: Item Dropdown
Select: Item
Pack Quantity
The Quantity field represents how many of the item type you wish to have placed within this particular Package (represented by the Box #). The Quantity Remaining show you how many remain unpacked on the order.
Packaged Content
Once a Package is created it will show up under your TC - Package Contents tab with a summary of information.
Each line represents a Package that contains Items, you can easily view which Items are located within that particular Package by viewing the Package Contents field of each line. Each item is separated by a coma and shows the amount packed within it.
Editing a Package
If you need to make changes to an already existing Package Content use the Edit button on the line
Note: Do not try to modify the Package Contents directly under the Edit of the Item Fulfillment itself - instead use the Edit button located on the line to bring up the Package Contents modification window.
The TrueCommerce module will not recognize updates typed manually outside of the Package Contents window
Auto Pack
If your Item Fulfillment is relatively simple - you can save time by utilizing the Auto Pack button. This button will take the Items located on the items tab and automatically place them into their own boxes based on Pack Quantity determined in the TrueCommerce Settings located within NetSuite.
Navigate: TC - Package Contents
Select: Auto Pack
If an item does not pack automatically - it is most likely due to that Item missing Package Quantity settings within the Auto Pack setup
Configuring the Auto Pack Settings
Each Item requires a one time configuration so that the Auto Pack system is able to distribute your items properly into boxes without over flowing them.
The AutoPack feature is best used for Pure Cartons - as Mixed Cartons require manual assignment
