Product: Intuit QuickBooks (On-Premise)

Error: There is an invalid reference to QuickBooks Item "xxxxx" in the SalesOrder line. QuickBooks error message: Invalid argument. The specified record does not exist in the list.


Issue: When exporting an inbound Purchase Order (850) from your Trading Partner you receive the error 'There is an invalid reference to QuickBooks Item "xxxxx" in the SalesOrder line. QuickBooks error message: Invalid argument. The specified record does not exist in the list.'

Reason: The Item Code sent by your Trading Partner does not match your QuickBooks item code, or the Item Translation within your Item Catalog is not properly filled out.

Solution A - Update Item Catalog


Navigate (TM): Trading Parnters β†’ (Partner) β†’ Translations β†’ Item Catalog

Navigate (QB): Lists β†’ Item List

Add/Correct: the item list to properly match your Transaction's codes being sent by ensuring your QuickBooks item code is located in the Item Translation field while your Partner's item code is listed in the 2nd column (see below for more info)

Note: Make sure your Primary Item Field is properly selected in the dropdown list (bottom right) - if you do not see proper option within the dropdown or you've never configured the Primary Item Field for this partner - see Configuring Primary Item Field

Your Item Translation is referenced by the Primary Item Field which will always be the 2nd column within your Item Catalog - so whatever is in the 2nd column will always be referenced to try and perform a translation on an export.
