Product: Dynamics GP (Enterprise)

While most of the EDI Documents you send and receive to your Trading Partner are standards Dynamics GP transactions, such as Sales Entry Order and Sales Entry Invoices - in order for the TrueCommerce Modules to produce packaging information for your ASN to be generated off of (such as SOTPI, SOPI, and SOIP) ASNs are generated by the TrueCommerce ASN Main module that store all this information.

Over time these built ASNs can slow down your ASN Main window as it attempts to load them from orders processed long ago. It's recommended to perform maintenance against these ASNs over time to help reduce the amount of data that the system is attempting to load.

Manually Archiving

You can manually archive a range of ASNs for the selected customer by selecting it in the ASN Main window, and selecting the Archive option under the Process ASNs menu. This will allow you to Archive a batch of ASNs based on a Date Range.

Note: This will only show ASNs that have successfully been exported.

Navigate: ASN Main → Process → Process ASNs → Archive

Enter: Date Range Start & Date Range End (to filter)

Select: All ASNs wished to be archived.

Select: 'Select' to archive

Selected ASNs to Archive

Enabling Auto-Archiving

You can enabled the system to automatically Archive ASNs on Export so that after any successful export from the ASN Main window the system will automatically move the ASN into the Archives table.

Navigate: TrueCommerce SOP (Main) Module → SOP

Enable: Archive ASN on Export

Loading Archived ASNs

Once an ASN is Archived - you can find it in the ASN Main module by selecting Archived ASNs as the Display Type option

Bulk ASN Maintenance (SQL)

If you've not had Archive ASN on Export enabled and have a long standing history of documents that have not been archived that you're having issues archiving using the ASN Main → Archive feature. You can use the below scripts to Archive the ASNs

If you wish to delete Archived ASNs to reduce load time when trying to find Archived ASNs you can run the below SQL Script
