Advance Ship Notices (856) are utilized whenever you need to notify your Trading Partner of how their goods will physically be received, and in what manner. They hold important information such as which carrier and delivery method is to be expected, as well as informs them of how you've packaged your items (whether they're on pallets, in boxes, and how many come in a box).

In order to view your shipment, or make manual adjustments you'll need to launch the ASN Window in order to configure your shipment properly. You can access the ASN from any Sales Transaction Entry (Sales Order/Invoice)

Navigate: Sales Transaction Entry β†’ Additional β†’ ASN

Shipment Details

The Shipment Details screen provides you with a basic overview of your Items, and their current pack status.

Shipment Details

Ship Qty: How many are ready to be packaged

Packaged Qty (Auto-Calculated): How many that have been assigned a Package or Pallet

Order Qty: The total quantity on the Sales Order

Remaining Qty: How many need to be shipped

Note: Any items not shipped/packed will NOT be sent to Transaction Manager

Ship All

Marks all items to be shipped. In general you can use this option to mark all ready to be shipped, otherwise if you need to perform a short-shipment or put an item on hold, you'll want to manually fill out the quantities to be shipped

Auto-Pack

If you're using Auto-Pack Templates, the system will automatically push items into the appropriate Packages/Pallets based on the configured Auto-Pack Template

Package Details

The Package Details screen allows you to structure your Items into various Packs and Pallets based on the Assigned Pallet ID or Pack #

Package Details

Pallet ID (Header)

The currently selected Pallet ID

Note: Only available/present when your ASN Type includes a Pallet option

Package # (Header)

The currently viewed Package. Select the Magnifying Glass to view all currently created Packages, or select New to create a new package.

Weight

Note: You can have the Weight Auto-Calculate by filling out the Shipping Weight within the Item Card (will need to recreate the package to take effect)

Packaging Items

In order to Package and Item, you can select the magnifying glass next to the Item Number column or you can manually type in the item you wish to pack (must reside on the Sales Entry).

Package Items Screen

Note: In order to Pack your Items, you'll need to make sure you've Shipped them in the Shipment Details screen first - otherwise you may receive an error stating the Item is already packed or that you've exceeded the quantity

Once you have your items selected, you'll want to assign it a Pallet ID (if using Pallet type), and a Package # (if packs being used), as well as assign a quantity.

Splitting Items across multiple packages

If you need to split up one of your items into multiple packs, you can do so by adding the item twice to the screen, and assigning two separate Package #s.
