Step-by-step guide for generating and exporting an Inventory Inquiry/Advice (846) or Price/Sales Catalog (832) using Catalog Maintenance in Dynamics 365 For Finance and Operations.

The Catalog Maintenance screen within Dynamics 365 For Finance and Operations allows you to generate outbound catalog files to be sent to your Trading Partners. The primary catalog transaction generated is an Inventory Inquiry/Advice (846), which communicates your product and inventory data to a Trading Partner. A Price/Sales Catalog (832) is also available as an alternative catalog type depending on your Trading Partner's requirements.


Generating a New Catalog


To create a new catalog, navigate to the Catalog Maintenance screen within the EDI module.

Navigate: EDI → Accounts Receivable → Catalog Maintenance

Select: New Catalog

Select: Trading Partner (the Trading Partner you wish to send the catalog to)

Select: Catalog Type (based on the Catalog types that have been configured at the Custom, Company, and System cross references)

The Catalog Types available when generating a new catalog are determined by what has been configured at the Custom, Company, and System cross-reference levels within your EDI setup.

Depending on the number of items in your catalog, this process can take some time to complete.

Once the generation process finishes, a window will appear displaying the items included in the catalog. Review the list to confirm the catalog contents are accurate before proceeding.

Review: Items listed in the catalog window

Close: The window once your review is complete

After closing, return to Catalog Maintenance and refresh the screen. The newly generated catalog will appear in the list with a status of On Hold, indicating it is awaiting finalization.

Navigate: EDI → Accounts Receivable → Catalog Maintenance

Refresh: The page to load the generated catalog

Select: The catalog with a status of On Hold

Select: Complete Catalog


Exporting the Catalog


Once the catalog has been completed, it is ready to be exported through the Outbound Catalog Mailbox.

Navigate: EDI → Accounts Receivable → Outbound Catalog Mailbox

Select: The catalog you wish to export

Select: Export
