The Item Catalog acts as a cross-reference table for all your items for a particular Trading Partner providing a built in location for Transaction Manager to have a way to reference between your QuickBooks Online Item Codes and the Trading Partner's Buyer Item Number, UPC codes, Pack Size and many other identifications or item properties.

Configuring the Item Catalog


Prior to filling out your Item Catalog you'll want to make sure that you have identified and set the Primary Item Field that your Trading Partner will be passing data can be consistently used to Cross-Reference your Trading Partner's primary item code to your QuickBooks Online item code.

Primary Item


Your Primary Item is the item your Trading Partner will be sending you as their primary identification for any items you trade with them.

Setting the Code

Navigation: Trading Partners → (Partner) → Preferences → Transactions

Select: Translations

You will need to set the drop-down for each document type you use to the appropriate item code that your Trading Partner is sending you as it relates in Transaction Manager. This will inform the system on which code to send to QuickBooks Online or translate against.

Note: The Primary Item Field needs to be a consistent, always present value sent by your Trading Partner as this is the field that'll be used to identify your QuickBooks Online item number.

If this value is missing when a Purchase Order (850) is received the system will be unable to identify your Item Code resulting in a failed export


Populating the Item Catalog


Populating the Item Catalog will allow for the Transaction Manager system to auto-fill many of these fields onto your various Transactions using your QuickBooks Online item code as the Cross-Reference point.

Syncing an Item

You can easily sync your QuickBooks Item codes dynamically by utilizing the Sync button to automatically pull your QuickBooks Item Codes into the Item Catalog

Navigate: Trading Partners → (Partner) → Translations → Item Catalog

Select: Sync

Select: Lower Magnifying Glass to Search

Check: Desired Items

Select: Sync and Save

Fill: Primary Item Field

Manually Adding an Item

If you wish to manually add an item to the Item Catalog you can do so using the Add New Item button. Being sure to fill out the Item Translation field with your QuickBooks Online Item Name

Navigate: Trading Partneres → (partner) → Translations → Item Catalog

Select: Add New Item

Enter: QuickBooks Online item Name into Item Translation
