The Item Cross Reference comes packaged with the TrueCommerce Extension for Dynamics 365 for Finance and Operations providing a robust built in cross-reference table for all your Electronic Data Interchange (EDI) Inventory Items allowing you to configure at a System, Company, and even Trading Partner level how particular Items should be represented when being transmitted over EDI.
TrueCommerce Recommends utilizing Finance and Operation's External Item Number lookup configuration for most customers. We suggest you take a look at the below article for more information
Item Cross Reference
Each Item Cross Reference is based off of a particular Item Card within Dynamics 365 for Finance and Operations items list - to define a new Item Cross Reference you simply select the Item Number - and if the Item is Configurable within Finance and Operations then select the specific variation desired by setting the Configuration, Size, and Color fields
Configuration, Size, and Color are only used to delineate between different options of a single item for Configurable Items within Finance and Operations
Item Number
The associated Dynamics 365 for Finance and Operations Item Number that this Cross Reference is configured against.
Configuration
Specification/Description of the Item Configuration (e.g. High Definition)
Size

Color

Item Attributes
Each Item Cross Reference contains EDI specific fields that can be transmitted to your Trading Partner when sending EDI Transactions that you can define within the setup to easily associate often required pieces of information that may be required by your Trading Partner.
Item Details
Within the Item Details tab you will find fields such as the GTIN, UPC, Alt. Item, and SCC-14 fields grant you additional fields to be used to identify a particular Item Number in the various EDI-required formats.
The Price field allows for overriding of a particular Price point to be used for specific Trading Partners defined away from your regular Item Card within Finance and Operations while the Include on EDI Invoice dropdown allows you to mark items that should or should not appear on an Outbound Invoice (810) to assist with internal items that you may wish to see on the Sales Order, but not return back to your Trading Partner.
Field | Description |
GTIN | The Global Trade Item Number (GTIN) |
UPC | The Universal Product Code (UPC) |
Alt. Item | Alternative Item Number that may be used to reference this item number |

External Item Numbers
If your Trading Partner is sending a different Item Number than what you have defined within Finance and Operations through EDI Transactions you can utilize the External Item Numbers section to define the different Item Codes that your Trading Partner may send that you wish to have associated with a particular Dynamics 365 for Finance and Operations Item Number.
Item Cross Reference Hierarchies
Built into the Item Cross Reference is a hierarchy system that allows you to define your Dynamics 365 for Finance and Operations Item Number with its respective Configuration, Size, Color, and Style along with External Item Numbers and Packing/Shipping configuration (Pack Size, Pallet Size, etc.) once having it applied across all your Customers (Account Receivables), Vendors (Account Payables), and Warehouses Locations sharing the same EDI Configuration - to which you can override either at the Module Specific level (All Customers or all Vendors) and even at the Trading Partner specific level allowing you multiple levels of control.
Hierarchy | Description | Overrides |
Default Item (Company) | Global Item configuration for all Customers, Vendors, and Warehouses |
|
Account Receivables Module (AR) | Module Item configuration for all Account Receivable (AR) Customers |
|
Account Payables (AP) | Module Item configuration for all Account Payable (AP) Vendors |
|
Warehouse (WHS) | Module Item configuration for all Warehouse (WHS) Locations |
|
Account Receivable Partner (AR) | A Trading Partner specific override that applies to an Account Receivable (AR) Customer |
|
Account Payable Partner (AP) | A Trading Partner specific override that applies to an Account Payable (AP) Vendor |
|
Warehouse Partner (WHS) | A Trading Partner specific override that applies to a Warehouse (WHS) Location |
|
Company β Module (AR/AP/WHS) β Trading Partner
Attribute Override
If you create an Item Cross Reference at either the Default (Company) or the Module (Account Receivable / Account Payable / Warehouse) levels - you can then define an Attribute Override at the Trading Partner level that adjusts just the defined attribute while the remaining settings stay at the Default/Module level.
Example
Take the below example - Item Number 1000 has a Carton Quantity of 12, and a Pallet Quantity of 720 with a Weight of 2.0lbs associated to it at the Default Item Cross Reference (Company wide across all EDI Partners)
Default Item Cross Reference (Company)
Item Number | Carton Quantity | Pallet Quantity | Weight |
1000 | 12 | 720 | 2.0lbs |
But for all Account Receivable Trading Partners you wish to override the Carton Quantity to adjust it so that the Carton Quantity is that of a 120 instead
Account Receivable Module Override
Item Number | Carton Quantity | Pallet Quantity | Weight |
1000 | 120 | Default | 2.0lbs |
But within the Account Receivables module, you have a Trading Partner (UPS) that receives a modified weight value switching it to 0.2lbs instead
Trading Partner Override
Item Number | Carton Quantity | Pallet Quantity | Weight |
1000 | Default | Default | 0.2lbs |
For all Account Receivable Customers (outside of UPS) such as say, Amazon, when an order is placed for Item 1000 they will receive only the Account Receivable modifications - however UPS will receive both the Account Receivable overrides made for the Carton Quantity, as well as the Weight changes for that specific Trading Partner since it falls under an Account Receivable Customer.
Amazon Order Example
Item Number | Carton Quantity | Pallet Quantity | Weight |
1000 | 120 | 720 | 2.0lbs |
UPS Order Example
Item Number | Carton Quantity | Pallet Quantity | Weight |
1000 | 120 | 720 | 0.2lbs |
In this way you can see that you have 3-layers of configuration available letting you to create the baseline Default Item Cross Reference that will be applied against all your EDI Trading Partners, but can then modify each Module, or Trading Partner as needed to accommodate your business process by overriding only the Attributes that you need at the level that you need.
