Dynamics 365 for Finance and Operations - Using Dynamic's External Item Number

While the TrueCommerce Extension comes with a built in Item Cross Reference it also comes with the ability to cross reference items using the External Item Description native to your Dynamics 365 for Finance and Operations system instead to match the Item Number sent from your Trading Partner with your inventory within Finance and Operations.

Utilizing the External Item Description Lookup Type is the simplest configuration for configuring your EDI Items and is recommended for most customers by the TrueCommerce Team


Enabling External Item Description Cross Referencing


In order to leverage the External Item Description cross reference you will need to first disable the TrueCommerce Extension's Item Cross Reference and then set the ERP Item Lookup Type to External Item.

Customer Level Settings

Navigate: EDI → Accounts Receivable → Cross References → (Trading Partner)

Navigate: General → General

Item Cross References: Set to Do Not Use

ERP Item Lookup Type: Set to External Item Number


Adding an External Item Description


You can add an External Item Description entry into any of your Item Cards within Dynamics 365 for Finance and Operations simply by opening it under the Product Information Management module.

Adding a Customer External Item Description

Navigate: Product Information Management → Products → Released Products

Select: Desired Item Card

Navigate: Sell Tab → (Related Information) → External Item Description

Select: New

External Item Description: Enter the Item Code sent by your Trading Partner

Customer Relation

You can configure your Customer Relation by either leaving it as Table and selecting the the Customer Card code that would be used for this Trading Partner within your Customer Cross Reference if you wish to set it for a specific Trading Partner or by setting it to Group and assigning a Group Code that this Customer Card would fall under.

Table

Select Table within the Customer Relation to assign a specific Customer Relation

Group

Select Group within the Custom Relation to assign a grouping of Customer Cards that can be assigned within their individual Customer Cards to set it up across a wide range of Customer Cards.

Adding Customer to Group

Navigate: Accounts Receivable → Customers → All Customers → (Customer)

Navigate: Sales Order Defaults

Set: Item - Customer Group

Customer Groups are not configured or setup by TrueCommerce
