Dynamics 365 For Finance and Operations - Customer Filter for Outbound Documents

Covers how to configure the Customer Filter Field within AppServer Outbound Settings in Dynamics 365 For Finance and Operations to route outbound files to unique folder paths based on customer attributes.

Product: Dynamics 365 For Finance and Operations

The AppServer Connection within Dynamics 365 For Finance and Operations connects to the TrueCommerce hosted Cloud Secure File Transfer Protocol (SFTP) server so that outbound and inbound files can be exchanged with your Trading Partners. Within the Outbound Settings section of that connection, a Customer Filter Field can be configured to define unique output folder pathways based on a customer attribute — allowing different customers or customer groups to have their files routed to separate destinations automatically.

Clients may have a unique TC Cloud SFTP folder for a group of trading partners. This is common in a multi-company Foundry profile. TrueCommerce has added an additional filtering option to the Apperver Outbound settings that allows clients to set a filter for Trading partners that share a common Dynamics field value. Within the TrueCommerce module there is an Appserver connection to the TC hosted Cloud SFTP so that files can be sent/received. In the Outbound settings section, an AR “Customer filter criteria" can be set so unique pathways (Output folder paths) can be set based on this filter.

The Customer Filter is applied at the Accounts Receivable (AR) module level and uses fields from the Dynamics CustTable — such as Customer Group (CustGroup) — as the filter criteria. This is useful when multiple Trading Partners or customer segments require separate outbound folder paths within a single AppServer Connection. This filter can be applied to both existing and new AppServer Connections.

Configuring a Customer Filter Criteria

Accessing AppServer Connections

To configure the Customer Filter, navigate to the AppServer Connections settings within the TrueCommerce EDI module in Dynamics 365 For Finance and Operations. This filter can be applied to an existing connection or configured as part of setting up a new one.

Navigate: Modules → EDI → Settings → Global System Settings

Select: AppServer Connections

Select: Edit (to modify an existing connection)

or

Select: New (to create a new connection)

Global System Settings Screen

Setting the Customer Filter Field

Within the AppServer Connection form you can modify the Customer Filter Field found under the Outbound group to configure a custom filter that will determine which customer attributes from Finance and Operations will be utilized for the filter.

The Customer Table (CustTable) is used as the basis for routing Outbound Files.

Once the AppServer Connection form is open, scroll to the bottom of the form to locate the Customer Filter Field dropdown. This dropdown determines which customer attribute from the Dynamics CustTable is used as the basis for routing outbound files. For example, selecting CustGroup will route files based on the customer's assigned Customer Group.

Always set your Customer Filter Field before adding new rows to the Outbound Settings table. Changing the filter field selection after rows have been added may require reconfiguring those existing rows.

Scroll: To the bottom of the AppServer Connection form

Select: Customer Filter Field dropdown

Choose: The desired filter field from the available CustTable options (e.g., CustGroup)

Adding Outbound Settings Rows

With the Customer Filter Field set, you can now add rows to the Outbound Settings table. Each row maps a specific Customer Filter criteria value to a unique output folder path, allowing outbound files to be routed differently depending on which customer attribute matches.

Select: New (to add a new Outbound Settings row)

Select: Company (choose the Dynamics company this row applies to from the dropdown)

Select: Customer Filter Criteria (choose the corresponding value from the selected Customer Filter Field — e.g., a specific Customer Group code)

Enter: Output Folder (the subfolder path this criteria should route files to — this value appends to the Destination OUT folder configured in the AppServer FTP Settings)

Complete: All other required fields in the Outbound Settings row

The Customer Filter Field is only supported for the Accounts Receivable (AR) module. No other modules currently support Customer Filter Field routing.

Repeat the steps above to add a row for each Customer Filter criteria value that requires a unique output path. Once all filter-specific rows have been added, be sure to also add a fallback row using an All Companies entry to handle any exports that do not match any of the defined Customer Filter criteria values.

Always include a fallback row using All Companies in your Outbound Settings. This ensures that exports not matching any filter criteria still have a valid output destination and are not lost.
