TrueCommerce's embedded Electronic Data Interchange (EDI) solution for Microsoft Dynamics 365 for Finance & Operations includes a set of security roles that control what actions each user can perform within the EDI module. Assigning the correct role ensures users have the access they need — without exposing sensitive configuration or processing capabilities to those who don't require them.


TC EDI Roles Overview


Each role is additive in nature, with broader roles building upon the privileges of the core TC EDI role. The role you assign should reflect the user's day-to-day responsibilities within the EDI workflow.

TC EDI – Viewer

For non-EDI users who need to view EDI forms without making changes

Grants TCEdiReadOnlyPrivileges — read-only access to TrueCommerce tables, data entities, and menu items

TC EDI – Administrator

For EDI administration and troubleshooting

Grants TCEdi_AdminPrivileges — includes TC EDI Role, TC EDI Message Editor, and TC EDI – PO Ack Editor as sub-roles; grants access to the TrueCommerce Table Browser (a clone of the system table browser restricted to TrueCommerce tables only)

TC EDI – PO Ack Editor

For added control over how inbound AP purchase order acknowledgement data gets applied to purchase orders

Grants TCEdiPrivileges and TCEdi_POAckEditorPrivileges — ability to modify staged data after importing an AP Purchase Order Acknowledgement before it is applied to a purchase order

TC EDI Message Editor

For advanced EDI users who need to edit raw message data

Grants TCEdiPrivileges and TCEdi_MsgEditorPrivileges — ability to modify inbound messages in mailbox forms before they are imported

The TC EDI – Administrator role includes the TC EDI role, TC EDI Message Editor, and TC EDI – PO Ack Editor as sub-roles, making it the broadest access level available.


TC EDI – Viewer Role Detail


The TC EDI – Viewer role is a read-only security role within the TrueCommerce EDI security configuration. When assigned, this role grants a user visibility into all areas of the TrueCommerce EDI module while restricting any ability to make writes, edits, or process messages.

This role is ideal for users who require oversight into EDI activity — such as managers, auditors, or support staff — without the risk of unintended changes. With the TC EDI – Viewer role applied, all action and processing buttons across EDI forms will be hidden or disabled, leaving only display and view menu items accessible.

Viewer Role Access


Users assigned the TC EDI – Viewer role will have read-only access to all TrueCommerce EDI forms and mailboxes. The following actions are not available to users with this role:

  • Editing any EDI configuration, cross-reference, or setup data

  • Processing, importing, or exporting any EDI messages

  • Submitting, acknowledging, or modifying EDI transactions

Users with this role cannot perform any actions that would alter data or trigger processing within the EDI module. It is purely for viewing purposes.

Inbound Sales Order Mailbox

When a TC EDI – Viewer role user accesses the Inbound Sales Order Mailbox, only the view and display buttons will be available in the ribbon menu. Action buttons such as Import and Batch Import will be absent or disabled — preventing any processing of inbound documents from within this screen.

Acknowledgement Maintenance

Within the Acknowledgement Maintenance screen, the TC EDI – Viewer role similarly restricts all editing and processing actions. Users can view existing acknowledgement records and their statuses but cannot create, modify, or transmit any acknowledgements.

Assigning TC EDI Roles


TC EDI roles are assigned through your ERP's standard user administration screens. The process will vary depending on your integrated ERP system. The steps below provide an example using Dynamics 365 for Finance and Operations (D3FO).

Navigate: System Administration → Users → Users

Select: the desired User record

Select: Assign Roles

Select: the desired TC EDI role from the available roles list

Select: OK to confirm the assignment
