The TrueCommerce Extension for Dynamics 365 for Finance and Operations utilizes an Inbound Mailbox that allows your system to receive and process Inbound EDI Transactions such as Purchase Orders (850) by storing your EDI Documents as Inbound Messages within that mailbox. Over time these messages can begin to increase with data that is no longer relevant.
You can utilize a Batch Job to perform an automated cleaning out of your Inbound Mailbox to help ensure that your system continues to run optimally by reducing the amount of temporary data located within your Inbound Mailboxes.
Creating the Batch Job
A Batch Job is an automated process that can be run on a schedule to help ensure that your Dynamics 365 for Finance and Operations system runs smoothly on its own. The TrueCommerce Extension has custom runnable Batch Tasks known as the TcInboundCleanupBatch that automatically cleans your Inbound Mailbox when ran.

Adding the Batch Task
The Batch Task is the actions to be run by your Batch Job - and is where you'll set the TcInboundCleanupBatch to run to automate your cleanup.
Select: New
Company Account: Assign your desired Finance and Operations Company ID
Class Name: TCInboundCleanupBatch
Class Description (Autofilled): Inbound EDI Cleanup
Setting Delete Period
Once the Batch Task details has been filled out, you can use the Parameters section to set the Delete Period (In Months) which determines which Inbound Documents are kept or deleted based on how old it is.
It's typically recommended to keep around 6-months worth of your EDI Documents however you can set this as little as 1-Month to delete data older than 30 days as Transaction Manager will continue to retain your EDI Transactional data for up to 6-months before it's auto-archived, with archives being capable of being restored from up to 2 years.

Setting Batch Job Recurrence
You can configure the Recurrence of the batch cleanup to run periodically utilizing the Recurrence Pattern to set how often the job will check the Inbound Messages for documents that are older than the Delete Period.
You can set it to run with a pattern of Minutes, Hours, Days, Weeks, Months, or Years.
Select: Recurrence on the top-ribbon
Set: Start Date & Time
Set: Recurrence Pattern (Recommended Weeks with a Fixed Weekly Interval of 1)
Recurrence Pattern | Description |
Minutes | Runs every X amount of Minutes |
Hours | Run every X amount of Hours |
Days | Run every X amount of Days, or Every Weekday |
Weekly | Run every X amount of Weeks, with selectable days of the week to run (Monday-Sunday) |
Months | Run on a specific Day of the Month either the specific ordinal day, or the instance of weekday |
Years | Run once a year based on ordinal count or specific day of the year |
Activating the Batch Job
Once you've configured your Batch Job and its Recurrence - you will need to use the Change Status button within the top ribbon to changed it from Withhold to Waiting to begin scheduling it.
Your Batch Job is now configured and will begin to cleanup your Inbound Mailboxes on the specified recurring schedule.
