When it comes to filling out your Item Catalog or Partner List tables, you have a couple options, you can enter the information manually or you can import a CSV file. Importing a CSV file can be a real time saver if you have a lot of information to enter!
Note: When you import a CSV file, the file is automatically saved. The Save button will only appear if you make changes to the data in a current table.
Item Catalog
To import a CSV file into your Item Catalog, make sure the source information lines up with your Item Catalog headers.
In the example below, the columns used to create the CSV file match the columns in the Item Catalog.
Item Catalog Headers:
CSV File Columns:
Note that column C in the source was left blank intentionally so that nothing goes into the Vendor Item # column. Without that blank, the other columns in the Item Catalog would end up shifting to the left in error.
Keep in mind that item information is space and case sensitive. Spelling errors or extra spaces will cause errors during the export and import processes. Additionally, make sure there aren't any extra blank lines in the file, as these will cause the import file to error.
Also, if your Item Catalog is already filled in and you want to import new item information, you can re-import your CSV file. The Item Catalog will import the new items and skip any duplicates.
Once your CSV file is ready to go, click Import on the action bar, and select the file.
Partner List
Importing a CSV file into the Partner List is helpful when you have a multi-partner setup, which means that you have multiple partner records for one Trading Partner within your Business System. A multi-partner setup has three steps:
Step 1: | EDI Partners (where you enter the partner record names) |
Step 2: | Translation Parameters (a specific value being sent on every order from your Trading Partner, and is linked to one of the customer records within your Business System) |
Step 3: | Translation Values (the parameters for the value chosen in Step 2) |
The CSV file will need to have EDIPartner as the header in column 1 with the partner record names from your Business System listed in the column. Column 2 will need to have the token number associated to Step 2 as the header with the corresponding values from Step 3 listed in the column.
To ensure the correct token is used, start within your Partner Setup. Enter the first value in Steps 1 and 3 after selecting the Step 2 value you want to use. Export the current setup, and then add to it.
Once your CSV file is ready to go, click Import under Step 1 and select your file.
