The more your business grows, the more documents and transactions you receive. This is a good problem to have, as this means your business is doing well! However, it can also add to confusion when it comes to finding the right documents.

Want to view only POs or Invoices? Looking for an older transaction? This article tells you how to find/filter documents using the tools and services provided by TrueCommerce.


Using Filter Options in a Folder

Sometimes the transaction or document you're looking for is pages deep within a specific folder. Before launching a full search, you can try filtering by column to narrow down what is displayed on the grid.

This is by far the fastest way to find transactions in a folder. It is also useful for showing (or filtering out) specific data.

For example, to show only one type of transaction (Invoice, PO, etc.) click the three dots next to the Document Type column header to invoke the filtering options box, enter the document type you'd like to see, and then click Filter.

Quicksearch

Another way to filter transactions in a folder is to use the Quicksearch feature at the top of the grid.

Simply type in a full (or partial) keyword in the Quicksearch field, and then press Enter to find all the transactions that match the entered value.


Using Foundry Search in Transaction Manager

If the transaction you are looking for is within the past 5-6 months you can use the standard search functionality. This opens the Foundry Search Panel to help you find transactions that are currently active in the database.


What if Transactions are Older than 5-6 Months?

You are in luck! We automatically archive transactions for a little over a year. Transaction Manager allows you to restore them back into the folder where they were kept originally. Note that they are likely to be the last on the page in the respective folder.

Use the search functionality to find transactions in the archive.

Note: All restored documents will be moved back to the archive automatically as of 3:00AM EST the following day; therefore, we recommend you make use of them shortly after they are recovered.


Transactions Older than 2 Years? What now?
